Separate a time from an intention
A dentist appointment has a fixed start time. Sorting a folder of documents may not. Put the appointment on the calendar and the sorting task on a list, unless you have deliberately set aside a time for it.
Leave room around fixed plans
Add travel or preparation time when it is relevant. Do not assume an empty calendar means the entire day is available.
Pick a short next-action list
Write tasks as actions you can recognize: “put the shelf measurements in the home folder” is clearer than “organize home.” Keep the rest in a separate list.
Review what moved
At the end of a planning session, move unfinished items intentionally. Delete an item that no longer matters instead of carrying it forward automatically.
